The Polyscript user guide
A guide to
meeting memory.
Record a permitted conversation, find what mattered, and follow an answer back to the words behind it.
A good first conversation.
Start with the installation guide or choose Explore a synthetic demo in the app. The demo is clearly labeled and uses fictional meetings. Try “What decisions did we make at last week’s retrospective?” and open a citation to see its source.
Release notes describe each published version. The download page has the current Mac build and checksum.
Agreement comes first.
Obtain permission from everyone involved and agree on the transcript uses before every recording or import. Confirm both permission and agreed use in the app. Choose the session’s context, title, meeting date, and agreed purpose.
Do not use or share transcripts without an agreement. An operating-system microphone prompt is a device permission, not participant consent.
Saving is a separate choice. Select Save on this Mac for search and questions only when those uses are covered. Existing saved meetings follow their own stored agreements; they do not supply permission for a new session.
Interviews are prohibited, even with consent. A detected interview stops capture and processing, discards transient session data, and exits the app without an override or resume. Detection is a contextual heuristic and can miss or misclassify sessions. Polyscript does not provide interview coaching or suggested participant responses.
Bring a conversation in.
Text transcripts: use Import to add TXT, SRT, or VTT, or paste text. SRT and VTT preserve supplied timestamps; plain text is untimed. Every import still needs fresh permission and an agreement.
Audio imports: choose a recording after setting up a speech model. Polyscript recognizes it locally in sections. The original file is not modified. Audio imports are limited to 250 MB and two hours.
Live recording: choose the recording action, authorize the session, and select Start recording. The app prepares the speech model before acquiring microphone access. Use Finish to process the final section. Withdraw permission & stop cancels preparation or capture and prevents unfinished output from being saved.
Raw audio is transient. Polyscript does not keep a recording for playback or automatically identify speakers. Review recognized text before using it as evidence.
Ask something worth remembering.
Use the Meeting library to browse authorized saved transcripts. Type a phrase or question, choose Keyword search, or use the suggested retrospective questions. Keyword recall works without optional models.
For semantic search, install Nomic in Settings & local models, then choose Build semantic search. It indexes current authorized passages. Qwen can select supporting quotations locally; answers still need valid source passages.
Use Filters to narrow meeting, date, topic, and supplied speaker labels. Relative dates such as “last week” use the configured timezone and week boundary. Meeting dates determine the scope, rather than the day a file was imported.
Answers distinguish recorded decisions, proposals, action items, and missing evidence. If no supporting source is found, Polyscript cannot infer that the conversation never happened or invent an owner or deadline. Open a transcript and choose Summarize for highlights from that meeting.
Let the source have a say.
Every supported answer links to its source passages. Open a citation to inspect the meeting and its words in context. A citation shows what the stored transcript says; it does not prove that speech recognition correctly heard the original conversation.
Transcript content is treated as data, not instructions for models or tools. Text inside a meeting cannot authorize recording, network access, or other actions.
Keep a useful library.
Correct: open a meeting, choose Edit, update the text or supplied speaker labels, then Save corrections. Changes update search and invalidate old answers and embeddings. Rebuild semantic search when needed.
Bookmark: select the bookmark beside a passage. Find it again in Saved moments, with a link back to the transcript.
Export: choose Export in an authorized transcript. Share the resulting text only when the stored agreement allows it. Exported copies remain separate from the app’s library.
Withdraw or delete: open the transcript and choose Withdraw permission or Delete meeting. Revocation and deletion remove access to its searchable sources and derived recall. Original imports, exported copies, and external backups are separate.
Your words stay on your Mac.
Speech recognition, embeddings, retrieval, and answer processing run locally. Models are downloaded only after an explicit setup action. Model transfers fetch pinned weights and verify their checksums; recordings, transcripts, questions, and embeddings are not uploaded. After setup, processing works offline with no silent cloud fallback.
Local transcripts and indexes have restricted filesystem permissions. The current preview does not add application-level encryption. Read Privacy & use for the storage, export, and deletion boundaries.
When a thread needs untangling.
- Audio actions are unavailable: check Settings & local models for an installed Whisper speech model. Transcript import and keyword search remain usable without it.
- A model download failed: check your connection and available disk space, then explicitly download it again. Files that fail checksum verification cannot be used.
- Preparation takes time: allow local model initialization to finish, or use Withdraw permission & stop to cancel. The microphone is acquired after speech preparation.
- Microphone access is denied: review macOS System Settings → Privacy & Security → Microphone. Start a new session with fresh participant permission and agreed use after correcting the device permission.
- Search misses a phrase: check the meeting dates, timezone, filters, transcript wording, and agreement. Build semantic search if you want meaning-based retrieval.
- A source disappeared: corrections, withdrawal, or deletion invalidate previous results. Ask again against the current authorized library.
- The app closes after interview detection: this is a terminal boundary with no override, resume, or automatic retry. Interview use remains prohibited.
For updating or removing the app and local data, see updates and uninstall.
